Privacy policy

1. Who we are
Solid Basis Ltd, registered in England and Wales under number 15337369, registered office 7 New Barn, Old Grange Close, Calcot, Reading RG31 7BY, is the controller of your personal data. We are registered with the Information Commissioner’s Office (ICO) under number ZB661067.
For privacy requests, contact us at info@solidbasis.uk · 07342 434403. We process your data under the UK GDPR and the Data Protection Act 2018.
2. Who this policy covers
- People buying a property with our help, or investing, through our buying service (“Buy with us”).
- Property owners using our services for owners: preparing a property for sale, improvements before sale, and potential analysis including title splitting – and people who ask us for an indicative estimate of what their property could be worth.
- Executors, administrators and solicitors who contact us about an inherited property.
3. What we collect, and through which route
“How can we help you?” questionnaires and the short address form on our home page:
- the questionnaire you chose;
- about the property: its address, type, number of units or bedrooms, tenure and lease length, condition, whether it is lived in, let or empty, whether a mortgage or loan is secured on it (yes or no only – no amounts), whether you own it alone or with others;
- your goals and timescale, what has been tried so far (for example whether it has been on the market), and, for title splitting, how the property is arranged and registered;
- anything you write in the free-text boxes;
- your name, phone number, email address and, if you give it, the best time to call you.
“Get in touch” form:
- your name, how you would like us to contact you and the matching phone number or email address, the property address if you give it, and your message.
Indicative value report:
- the property details you give us, and the publicly available sales data for comparable properties that we use to prepare the estimate.
Buying service forms:
- what you’re looking for, areas, budget range, timeline, how you plan to finance it, and any property link or message you send us.
Also:
- correspondence: emails, messages and notes of calls;
- technical data: IP address, browser type and cookie information (see our Cookie policy).
We don’t ask for special category data (for example about health), and our forms ask you not to include it. If you share it anyway, we’ll use it only as far as needed to help you, or delete it.
4. Inherited properties
When a property is part of an estate, we deal with the executor or administrator, or the solicitor acting for the estate. We collect only what we need about the property and the estate to help – contact details of the executor or their solicitor and information about the property – and nothing about the person who has died beyond what that requires.
5. Why we use it, and our legal basis
- Replying to your enquiry or questionnaire, preparing an indicative estimate you ask for, and the first conversation – steps taken at your request before entering into a contract.
- Following up an enquiry you have made – legitimate interests.
- Prioritising enquiries: people use your answers (for example your timescale) to decide how quickly to respond. This is a simple internal triage; it does not lead to any decision with legal or similarly significant effects on you – legitimate interests.
- Providing our services, including organising agreed work and coordinating with agents, solicitors, surveyors, valuers and contractors – performance of a contract.
- Accounting and tax obligations, and anti-money-laundering checks – legal obligation.
- Defending or bringing legal claims – legitimate interests.
- Marketing, if you ask for it – your consent, which you can withdraw at any time.
- Website statistics – your consent via cookie settings.
6. Automated decisions
No decisions about you are made automatically from your questionnaire answers. Every enquiry is read by a person.
8. Where your data is stored, and international transfers
Your enquiries are stored in our website’s database and in our email mailbox. Both are provided by Hostinger International Ltd, and the servers that hold them are in the United Kingdom. Hostinger is based in Cyprus, in the European Union, which the UK recognises as providing adequate protection for personal data. If we ever transfer data to another country outside the UK, we will do so only where it is adequately protected, under UK adequacy regulations or with the required contractual safeguards.
9. How long we keep it
- Enquiries and questionnaires that don’t lead to working together: 12 months from our last contact.
- Indicative value reports and the data used for them: 12 months from our last contact, unless we go on to work together.
- Client records: 6 years after our work ends.
- Records about an inherited property: 6 years after our work ends.
- Marketing: until you withdraw consent.
After that we delete or anonymise it.
10. Your rights
You can ask to access, correct or erase your data, restrict or object to processing, receive your data in a portable format, and withdraw consent at any time. Email info@solidbasis.uk; we reply within one month.
11. Complaints
You can complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113. We’d appreciate the chance to resolve it first.
12. Security
Only people who need your data to help you can access it, and we use technical and organisational measures to protect it.
13. Changes
We’ll publish any changes here and update the date above.
